THE OPPORTUNITY
The Sales and Workplace Experience Assistant support the sales team through accurate CRM and portal management while owning day-to-day office experience, event support, and front-desk coverage. This onsite, part-time role is ideal for someone detail-oriented, service-minded, and comfortable balancing recurring office tasks with time-sensitive sales support.
KEY RESPONSIBILITIES
Sales Operations & CRM
- Receive and forward inbound leads to appropriate sales team members, ensuring timely follow-up.
- Create and update deals in HubSpot, including company, contact, and deal details, and maintain accurate pipeline stages.
- Review and merge duplicate records; clean and update records (names, addresses, contact info) in HubSpot.
- Enter and maintain lead, contact, and deal information in the CRM with high accuracy.
- Update and maintain customer and opportunity information in Moxa and Omron portals, ensuring consistency with CRM data.
- Support the VP of Sales with administrative tasks such as expense reports, document organization, and simple reporting.
Office & Workplace Experience
- Handle incoming and outgoing mail and packages; distribute mail to team members.
- Answer phones, route and transfer calls, and provide front-desk coverage, including lunch-hour support.
- Create a welcoming atmosphere by greeting colleagues, customers, and vendors with genuine warmth and professionalism.
- Partner with the Facilities Lead to coordinate and support onsite service vendors (such as plant services, pest control, and similar providers), ensuring timely access and clear communication about scheduled visits.
- Clean and refill the office coffee machine daily; monitor and restock related supplies.
- Order snacks, drinks, paper products, office supplies, and other workplace consumables within budget guidelines.
- Plan and organize company events (team lunches, celebrations), including logistics, supplies, and coordination.
- Put up and take down holiday décor, maintaining a welcoming and professional office environment.
- Scan warehouse packing slips daily and upload files to the designated SharePoint folders.
- Perform other office and workplace support duties as assigned to meet evolving business and team needs.
Training, Vendor, and Event Support
- Support vendor visits and onsite trainings, including room setup, meals/refreshments, name tags, and materials.
- Coordinate attendance lists, basic communication, and follow-up tasks for trainings and events.
- Ensure meeting spaces are clean, organized, and properly set up before and after events.
REQUIRED QUALIFICATIONS
- High school diploma or equivalent required.
- Strong attention to detail and commitment to accurate data entry and documentation.
- Friendly and professional communication style, whether in person, over the phone, or in email.
- Ability to prioritize and manage multiple responsibilities in a part-time schedule.
- Positive, proactive attitude with a strong sense of ownership and service orientation.
- Enjoys helping others, planning events, and keeping things organized.
- Self-motivated and dependable, with a positive, team-oriented attitud
Preferred Qualifications (nice to have):
- 2+ years of administrative, office coordination, or sales support experience in a professional office setting.
- Experience with CRM tools (HubSpot preferred) and comfort working across multiple systems and portals.
- Familiarity with Microsoft Office (Word, Excel, Outlook) and an interest in learning new tools.
- Prior exposure to technical or industrial environments (automation, manufacturing, or distribution sectors).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and comfort with collaborative tools.
Physical Requirements
- May sit or stand for extended periods while performing office or front-desk duties.
- Routine walking and light movement around the office to greet visitors, handle mail, or restock supplies.
- Occasionally lift or carry items for up to 25 pounds (such as supplies or event materials).
COMPENSATION
$24 – $26/hourly: (non-exempt), based on experience, skills, and certifications.
LOCATION AND SCHEDULE
This part time, on-site position is based in Centennial, Colorado. Work hours are Monday through Friday, daytime schedule 9am – 2pm.
